Guest Identification Requirements in South Africa
The Immigration Act13 of 2002
Section 40(1) of the Act, read together with Regulation 36, states that all establishments (including hotels, motels, boarding houses, lodges, guest houses, and apartments) must keep a register containing details of all persons (guests) who are provided with lodging or sleeping accommodation. This information must be collected irrespective of whether the guest is a South African resident or not, and must be kept for a period of 2 years.
The Act stipulates that the register of guests must contain the following information:
1. His or her full names and surname
2. A copy of his or her identification document or passport
3. His or her residence status in the South Africa and
4. His or her normal residential address
Bookings, Check in, Check out
No guests under the age of 18 years old are allowed to make a booking.
If you want to make a booking for someone else you need to provide us with all their details before you make a booking and payment.
We regret, our rooms are not setup for children, no children < 18 years.
A full payment is required for each booking to confirm booking. EFT and Credit Cards accepted.
Full payment is required before access is allowed to the booked accommodation.
We reserve the right to cancel and refund accommodation in situations of crisis.
!! NO EARLIER CHECK IN ALLOWED !! Cleaning staff are working until 16:00. You are welcome to check in from 16:00 to 18:00 (or later but only by arrangement) on the day of arrival and are required to checkout by latest 10:00 on the day of departure. Please confirm estimate time of check-in. Call or whatsapp us if you are ready to check out.
Late departure will automatically entail an additional day rate.
Estimated times of arrival and departure can be communicated to the welcoming owners to ensure smooth check-ins/outs.
Only paying guests are allowed on the premises – no exceptions.
The right of admission is reserved and strictly applied.
It is the guest’s responsibility to report any defect or problem to the owners at the time of taking occupancy.
Every effort is made to service and maintain all amenities, equipment, and appliances to a fully operable and safe condition, and guests are requested to use and operate all these in a responsible manner. Kindly report any faulty conditions to the owners.
Free parking is available inside the fenced property.
This is a strictly non-smoking accommodation, but you are welcome to smoke outside, providing that you use a cigarette butt dispenser.
We the owners cannot be held accountable for any accidents/theft, as we are satisfied that the service we deliver is to the best of our knowledge and of a high standard.
Guest will be accountable for any malicious damages.
Bath towels are supplied for use inside the accommodation only.
Please only make fires in the braai area, and only use charcoal in Webers.
The accommodation is in a residential area, please respect our neighbours.
For a lost key and/or gate remote you will be charged an additional replacement fee of R550 each.
Cancellation Policy
(Applicable only to direct bookings)
Notification: All cancellations must be submitted in writing via email to flipflopsvilla@gmail.com or WhatsApp at +27822996611.
Refund Schedule:
More than 30 days before arrival: 100% refund.
29 to 15 days before arrival: 50% refund.
Less than 15 days before arrival: No refund.
Festive Period (December to January): Cancellations made less than 15 days before arrival are non-refundable.
Transaction Fees: We reserve the right to retain card transaction fees in the event of any cancellation or refund.
Currency: All refunds will be processed in South African Rand (ZAR).
Please note that our cancellation policy is designed to protect both our guests and our business. We recommend reviewing it carefully before making a booking.
Booking changes & Cancellation
All booking changes are subject to available dates.
There will be an admin fee charged for all booking changes - R750 per booking - including crypto payments
Booking changes are not refundable when cancelled.
Towels/Linen
Please do not put any damp or wet towels on any wood furniture
Please use the dry rack for damp or wet towels (just ask us for a dry rack if needed)
Please do not use the towels to remove makeup and suntan lotion
WiFi
We cannot guarantee good wifi signal at all times, it is up to the Internet Service Provider (ISP)
Damages of R550 will be charged extra at the end of your stay if:
Any towels have wood stains on it. (was left on wood furniture)
Any towels have makeup or suntan lotion on it.
Any linen have makeup or suntan lotion on it.
Cleaning
This is a self-catering Villa and room only, but for a lengthy stay we can gladly provide you with a cleaning service by prior arrangement. (Cleaning fee extra)
If you prefer daily cleaning services between 10h00-13h00, you are welcome to request this in advance.
Cleaning materials and toilet paper are provided.
Please make use of the dustbins provided on the premises, keep the area clean.
The drains in Yzerfontein are municipal pump drains. Therefore, please use only toilet paper in the toilets. Bins are provided for any other items that need to be disposed of.
Pets
No Pets allowed.
Note: we have very friendly, well mannered dogs (2x Golden Retrievers) They have full access at the back of the property, owner side.
Our friendly dogs do NOT have access to the holiday accommodation side on the property.

POPI Act (Protection of Personal Information Act)
None of your personal information will be shared with any other party.
With the introduction of the Protection of Personal Information Act (POPIA), which came into full force on 1 July 2021, we have the responsibilities to protect our guests personal information. We have put in place appropriate reasonable technical and organisational measures to prevent loss, theft or damage to personal information.

DISCLAIMER NOTICE/INDEMNITY
Guest/s attend this establishment at their own risk.
The Proprietor, its agent/s and/or its employee/s (“the Proprietor”) shall not be liable for, and the guest/s hereby waive/s and abandon/s any claims of whatever nature including but not limited to that for theft, injury, loss or damage of whatever nature, against the Proprietor, whether arising from the Proprietor’s default, negligence or otherwise.
The guest/s, in addition to the aforesaid, hereby indemnify the Proprietor against any claims which may arise from whatever nature, whether arising from the Proprietor’s default, negligence or otherwise.
Any damage suffered by way of personal injuries of any nature and severity whatsoever sustained whilst at Flip Flops Villa or whilst using any facilities, regardless of whether such injuries were caused by or resulted from gross negligence or a wrongful act of the owner and/or management and/or employees OR if the injuries were caused by malfunctioning of any apparatus and/or equipment and/or appliance, is hereby excluded and the owner and/or management and/or employees of Flip Flops Villa is hereby expressly indemnified.
The use of all equipment and facilities is at your own risk. The owner and/or management of Flip Flops Villa, and/or anyone employed by the afore going persons and/or entities are hereby absolved of all and any responsibility relating to any injury, damage, illness or death whilst at FlipFlops Villa and whilst on the premises and/or using any of the facilities.
The said owner and/or management and/or employees are hereby indemnified against any loss or damage to the property and possessions including but not limited to data loss of a person whilst a guest at Flip Flops Villa. Regardless of the cause of such loss or damage, including but not limited to gross negligence or any wrongful act of the aforementioned owner and/or management and/or employees
Whilst every care has been taken at Flip Flops Villa to ensure the safety of guests and possessions whilst enjoying the accommodation, the following house rules have been included.
Valuables
Flip Flops Villa or the owners do not accept any liability for loss of or damage to any valuables or property belonging to guests or their visitors. This includes but is not limited to, photographic equipment, laptops and data contained therein or other electronic devices, jewellery, cash and vehicles.
Insurance
It is the sole responsibility of all guests to ensure the safety and security of themselves and their belongings, as well as take out adequate insurance coverage on all valuable items and have the appropriate travel/business insurance to cover any circumstances that will prevent them from fulfilling these obligations. This should be done prior to arrival at Flip Flops Villa.
Loss or Damage to Flip Flops Villa
Should Flip Flops Villa suffer any loss or damage as a result of an act or omission by a guest or visitor of a guest, the guest will remain liable for full reimbursement of such loss or damage incurred and will be billed accordingly.
Right of Admission Reserved
Flip Flops Villa at all times reserves the full right of admission and accepts no liability for any loss or damage that may result from the legal and reasonable exercising of such rights. Guests who wish to bring other guests not registered to stay at the establishment are to consult our website for booking rates.
Smoking/Drugs
For the comfort of our guests, Flip Flops Villa is a strictly non smoking accommodation establishment except for outside guest areas. In the event smoking is detecting fines equivalent to that of South African legislation will be applied. There are smoke alarms in the rooms.
No drugs allowed at Flip Flops Villa.
When making a booking I herewith accept all the terms and conditions and notices of Flip Flops Villa on behalf of myself, my family / group / people staying with me at Flip Flops Villa.
